The Brief
Hi Events played a key role in supporting the delivery and coordination of the Silicon Valley Economic Forum in California, a large-scale global innovation and economic leadership event bringing together founders, investors, policymakers, technology leaders and international business decision makers. With expected footfall exceeding 1,000 attendees across both in-person and virtual audiences, the forum required a highly coordinated operational structure capable of managing multiple moving parts simultaneously, whilst still delivering a seamless and elevated guest experience throughout.
The purpose of the forum was to create an environment where influential global leaders across technology, investment, economics and innovation could come together to exchange ideas, form strategic relationships and explore the future of global business and economic growth. The event attracted a high-profile audience including founders and entrepreneurs, venture capital and private equity leaders, institutional investors, policymakers and economists, technology innovators, senior executives and international delegates. The planning process involved months of layered coordination across venue and production, hybrid event planning, speaker scheduling, delegate management, VIP hospitality, security planning, registration, side event scheduling, transportation and live operational management.
Alongside the main forum itself, there were multiple side events, private networking experiences, executive meetings and relationship-focused gatherings taking place across the duration of the event. These side events played a vital role in creating smaller, more focused environments where investors, founders, executives and partners could engage in deeper conversations away from the pace of the main conference environment. Managing these experiences required careful oversight across scheduling, venue transitions, guest flow management, VIP access coordination, hospitality delivery and transportation logistics.

One of the key operational challenges was delivering a premium experience for both physical attendees and remote audiences simultaneously. This required careful planning around live-stream coordination, speaker timing management, audience engagement, technical production, virtual accessibility, real-time schedule management and hybrid communication systems. The objective was to ensure virtual attendees still felt connected to the energy, insight and momentum of the forum despite not being physically present within the venue itself. Main stage AV, simultaneous breakout room production and outdoor terrace sound were all managed by a single integrated technical team.
Given the calibre of attendees, guest experience and hospitality played a significant role throughout the event. Hi Events supported the coordination of VIP guest movements, executive hospitality, networking environments, relationship-focused introductions, delegate communications, speaker management, on-site coordination teams and concierge-style guest support. The forum experience was intentionally designed to encourage meaningful conversation and strategic relationship building rather than transactional networking. Private meetings, curated introductions and side-event experiences all formed part of the wider relationship ecosystem surrounding the forum itself.
Large-scale international forums rely on hundreds of moving parts operating simultaneously, often under intense time pressure and with little room for error. From speaker transitions and delegate communications to virtual streaming, hospitality timing and VIP guest management, every layer of the experience required proactive coordination and rapid problem solving. The success of the event came from the ability of multiple teams to operate as one streamlined unit whilst remaining calm, adaptable and guest-focused throughout. A dedicated ops team ensured that senior guests from across the world experienced a seamless programme from arrival to departure.

The Silicon Valley Economic Forum successfully delivered a high-level platform for conversation, collaboration and strategic relationship building between some of the world's most influential leaders across technology, economics and investment. The hybrid format expanded accessibility and reach beyond the physical venue, whilst the layered networking experiences and side events created valuable opportunities for meaningful business conversations and long-term partnerships.
